Training Is Part of the Equation!

At Exhibit Associates our goal is to be part of our client's team. To assist them in the execution

of the exhibit at a trade show event. And for that we have to understand what our client, a trade show manager, has to go thru to make this happen.

As a trade show manager, you have to ensure that your company's exhibit is attractive, effective and within budget. You also have to train the corporate employees who will represent your company in the trade show booth. Here is a quick overview of what the training should cover:

  • The goals and objectives of the trade show, such as generating leads, increasing brand awareness, launching new products, etc.
  • The features and benefits of the products or services that will be showcased in the booth, as well as the key messages and value propositions that should be communicated to the visitors.
  • The layout and design of the booth, including the signage, graphics, displays, demos, literature, giveaways, etc. The employees should know how to use and maintain the booth elements, as well as how to handle any technical issues that may arise.
  • The etiquette and behavior that is expected from the booth staff, such as dressing professionally, greeting and engaging visitors, qualifying and capturing leads, following up with prospects, etc. The employees should also know how to deal with difficult or competitive situations, such as handling objections, managing conflicts, avoiding negative comments, etc.
  • The schedule and logistics of the trade show, such as the set-up and tear-down times, the booth hours, the breaks and rotations, the transportation and accommodation arrangements, etc. The employees should also be aware of any rules and regulations that apply to the trade show venue and organizers.
  • The Budget! Yes: Share with the staff how much this cost to build, ship, setup and exhibit. Share the costs of travel for all staff members. The staff needs to understand this is more than just their time and travel.

The show you choose, your booth, your follow up plan and your staff all are parts of the equation of a successful trade show event.

Design Counts!

When it comes to exhibits & displays, design plays an essential role in the production of these experiences.

It's no different from the buildings we inhabit to the products we use, the websites we visit, and the advertisements we see, design is all around us. And Tradeshow Booths are no exception. It's were it all starts.

But what makes design so important? Let's explore some of the reasons why design matters.

First and foremost, design can greatly impact the attendee experience. When an exhibit is well-designed, it is intuitive and the walk thru it is easy to determine. This can save time for our exhibitors to filter out attendees interested in the new pen, or a potential client.
It can reduce frustration for those who staff your booth by saving the deep product knowledge discussion for real buyers. This element of the design can increase productivity and improver your Tradeshow ROI.

And on the other side of that equation, poorly designed booths can reduce your ROI.

In addition to increase production it should go without saying that a well design booth can also greatly impact the aesthetics of the environment. A well-designed space or exhibit can be visually appealing and create a positive emotional response in the attendee. This can lead to increased engagement and possibly a new client.

Through the design process, designers can identify issues and objectives to come up with creative solution to address them within a booth. This can be seen in everything from product design, to graphics, to lighting.

Furthermore, design can be a powerful tool for communication to the attendees. (a.k.a. potential clients). Through design, ideas and messages can be conveyed in a clear and compelling way.

The goal is to capture the attention of the attendee and convey a message effectively.

Design is a critical element in your new tradeshow booth. It impacts the experience of all involved in the fabrication, setup, dismantle and storage of your new booth. By recognizing the importance of design, we can work towards creating better, more functional, and more engaging exhibit.

A Podcast in your Tradeshow Booth?

 Why Not?

It should be of no surprise that we here at Exhibit Associates believe that trade shows are an essential
part of marketing and networking for businesses in a variety of industries. They provide an opportunity for companies to showcase their products and services, meet potential customers and partners, and stay up-to-date on the latest trends and technologies. However, with so many exhibitors vying for attendees' attention, it can be challenging to stand out from the crowd. One effective way to do so is by having a podcast in your trade show booth.

That's right, take up space and have a podcast going in your trade show booth.

Podcasts have exploded in popularity in recent years, with millions of people tuning in to listen to their favorite shows on a regular basis. By having a podcast in your trade show booth, you can leverage this trend to attract attendees and create a unique and memorable experience for them. Here are some reasons why Exhibit Associates believes you should consider having a podcast in your trade show booth:
  1. Increased Engagement: A podcast can help you engage with attendees in a more meaningful way than simply handing out brochures or giving a sales pitch. By hosting interviews with industry experts or discussing relevant topics, you can provide valuable insights and information that will be of interest to your target audience. This will help you build trust and credibility with potential customers and partners.
  2. Brand Awareness: Having a podcast in your trade show booth can help increase brand awareness by reaching a wider audience. By recording and publishing the podcast episodes on platforms such as Spotify, Apple Podcasts, or Google Podcasts, you can expand your reach beyond the confines of the trade show floor. This can help you attract new customers and partners who may not have otherwise discovered your company.
  3. Networking Opportunities: Hosting a podcast in your trade show booth can also provide networking opportunities. You can invite industry experts and thought leaders to be guests on your show, which can help you establish relationships and connect with new contacts. Additionally, attendees who stop by to listen to the podcast may be interested in learning more about your company, which can lead to new business opportunities.
  4. Unique Experience: Finally, having a podcast in your trade show booth can provide a unique and memorable experience for attendees. Trade shows can be overwhelming, and having a quiet and comfortable space to listen to interesting conversations can be a welcome break from the hustle and bustle of the exhibit hall. By providing this unique experience, you can create a positive impression of your company and stand out from other exhibitors.
By having a podcast in your trade show booth can be a valuable marketing tool that can help you attract and engage with attendees, increase brand awareness, provide networking opportunities, and create a unique and memorable experience.

And create a bond with existing and potential clients. By leveraging the power of podcasting, you can set your company apart from the competition and make a lasting impression on potential customers and partners.

Magic!

The fun part about tradeshows is everything has to work together.

1st) The client team and the design team have to work together to come up with a design the client wants, within the budget provided, and within a timeline that works for the fabrication team and the tradeshow deadlines.

2nd) The Fabrication Team has to time the production of graphics, receipt of raw materials and throughput of the shop to get the project done on time, within budget and to the quality required.

3rd) Tradeshow time. The crates (aka your booth) has to show up at the show on time, or at advance warehouse. The electricity has to be laid out, sign hanged, and the crates positioned around your space. And of course your capable setup crew has to be there on time. And then MAGIC! Your booth is set up!

4th) And last - you need to get your team there through planes, trains and automobiles. Plus hotels, matching shirts, messaging and the client path all have to be ready. And then the schedule for the 2 or 3 days so your booth is always staffed.

4 times synchronicity has to come together for the magic to happen.

What if? What if the set up crew doesn't show up? What if the shipping company doesn't deliver the crates? What if design doesn't get done? What if a graphic is done wrong?

Yeah. Magic!

Save 60% - Improve your ROI. #planning

Currently the Exhibit Associates Team is working on a tradeshow for a client. We are ordering electric, a hanging sign to be hung, cleaning, I&D and material handling. Thanks to this client's relationship with the team everything is going well.

The Discount Date is approaching, but we have already booked and/or paid for everything we need to for this client. Planning!

Example one on how planning saves our client money, increasing their ROI: Electricity.

That simple plug you use for your monitors, laptops, and anything digital costs money.

Prior to the Discount Date: $139.66
After the Discount Date: $224.70

Per outlet. Ok, so we are talking $85 difference, but this adds up. Rigging for your sign, cleaning, and let's not even go into the cost for hard wired internet.

So when your exhibit house says "Discount Date" listen.
